This policy explains how the English Conference League (“ECL”, “we”, “us”) processes personal data on englishconferenceleague.com, related staff tools, and our Discord integrations. It is written for the UK GDPR and the Data Protection Act 2018. It is not legal advice; contact us if you need something clarified.
Who we are
The ECL site and Discord bots are operated by the English Conference League organisers. For privacy requests, contact staff via our Discord server (open a support ticket or message league staff) and mention a privacy or data request.
What data we process
Depending on how you use the league, we may process:
- Account & identity — Discord user ID, Discord username, display name, avatar; Roblox user ID, username, and avatar URL; optional nationality and other profile fields you or staff set.
- League participation — club membership, contracts, wages, transfers, match appearances, goals, cards, suspensions, Fantasy ECL squads and points, referee and club management roles.
- Social — social usernames, posts, likes, follows, and related notifications if you use ECL Social.
- Communications — Discord DMs or channel messages we send for fixtures you follow, referee appointments, and similar league operations.
- Technical — sign-in session data, security logs, and (only if you allow analytics) aggregated page-view statistics via Vercel Analytics.
Much of the competition record (player names, clubs, stats, fixtures) is published on the public site as part of running a league.
Why we process it (lawful bases)
- Contract / league participation — to register you, run matches, Fantasy, transfers, and club tools after you link Discord / Roblox and join the league.
- Legitimate interests — to operate and secure the website, prevent abuse, publish competition results, and improve the product in ways that do not override your rights.
- Consent — for optional analytics cookies / tracking (see our Cookies page), and for optional features you choose to enable (for example following clubs for reminders, or using Social).
- Legal obligation — where we must keep or disclose information to comply with law.
Who we share data with
We use service providers (“processors”) to host and run the site:
- Vercel — website hosting and optional Web Analytics.
- Supabase — database and authentication storage.
- Discord — sign-in and bot notifications (subject to Discord’s terms and privacy policy).
- Roblox — usernames and avatar images used to display player profiles (subject to Roblox’s terms and privacy policy).
Staff and club officials with access may see data needed for their role. We do not sell your personal data.
International transfers
Some providers (including Vercel and Supabase) may process data outside the UK/EEA. Where required, we rely on their data processing terms and appropriate transfer safeguards (such as standard contractual clauses).
How long we keep data
- Competition history (appearances, results, transfers, Fantasy scores tied to a season) is generally kept as league archive for as long as the ECL maintains historical records.
- Login / session data lasts for the life of your session or until you sign out.
- Consent choice is stored in your browser until you clear it or change preferences.
- Security and operational logs are kept only as long as needed for security and troubleshooting.
If you leave the league, we can remove or anonymise account-linked data on request where it is not required for the public competition archive or legal reasons.
Your rights
Under UK GDPR you can ask us to:
- Access the personal data we hold about you
- Correct inaccurate data
- Erase data (where applicable)
- Restrict or object to certain processing
- Receive a portable copy of data you provided (where applicable)
- Withdraw consent (for example analytics) at any time
To exercise these rights, contact staff on Discord as described above. Include your Discord username and, if relevant, Roblox username. We may need to verify you control the account. You can also complain to the UK Information Commissioner’s Office (ICO).
How to request deletion
- Join or open the ECL Discord server.
- Open a support ticket or message league staff with subject “Privacy / delete my data”.
- Tell us whether you want account unlink only, Fantasy/Social removal, and/or removal from public player pages where possible.
Some published match statistics may remain in season archives in anonymised or historical form so results stay accurate.
Children
ECL is a Roblox-based competition and may include users under 18. If you are under 13 (or under the digital consent age where you live), ask a parent or guardian before linking accounts. Parents or guardians can contact us on Discord to request access or deletion of a child’s data.
